Track motor club and fleet tow jobs in one place

Last updated

The short answer

To track motor club tow jobs, log each one with its source, who pays and the club dispatch, claim or PO number, and file it under an account. TowSitePros does not connect to motor club dispatch networks, so you take the call there and record the job here.

How do you track motor club and fleet jobs?

You log the job like any other, and then tell the record where it came from and who is paying. The source can be website, phone, motor club, police rotation, private property, dealer, fleet, walk-in or other, and the payer can be the customer, a motor club, insurance, a commercial account, police or a municipality, or other.

Each job also carries a reference number for the club's dispatch number, the claim or the PO, and an authorized amount if the payer set one. That is what keeps retail work and contract work from becoming one pile.

  • Source and payer stamped on every job
  • A reference number for the PO, claim or dispatch number
  • An authorized amount, when the payer gave one
  • The same dispatch board, driver link and timeline as any job

What is an account, and why file jobs under one?

An account is a business you do repeat work for, such as a body shop, a dealer, a fleet, a motor club or a police rotation. You record the contact, the payment terms you agreed, a note about the rates and whether the account needs a PO.

When an account needs a PO, the job form will not save a job for it without a reference number. That rule protects you from doing a job you cannot bill, but it applies to the form only, so jobs pushed in through the API are not held to it and should carry a reference themselves.

What do you get for the account at month end?

Each account has a statement CSV that lists its jobs with references, quotes, final prices and payment status, ready to match against the payer's purchase orders. Police and municipal accounts also get a rotation report CSV with times, dispatch numbers, vehicles and units, and no money in it at all.

The accounts directory shows jobs and billed work per account, and the reports show where your work comes from and who pays. Nothing is emailed to the account for you and nothing chases them for payment, so the statement is a file you send.

How do jobs from another system get in?

You can import a spreadsheet of jobs, for example a batch from a club or your previous system, or push jobs in through the API with your own reference on each. Rows whose reference is already on a job are skipped, never overwritten.

Imported jobs never text anyone. Jobs pushed in through the API queue the usual texts, but only when texting is on and consent is recorded on the job.

What does this not do for motor club work?

It does not connect to a motor club digital dispatch network, so jobs do not arrive automatically and you do not accept or update them from here. You take the call in the club's own system, then log the job here so the truck, the driver and the customer are all on one record.

It also does not do impound or lien processing, private-property patrol or bill a club for you. If those run your business, keep the system that handles them and connect it through the API.

Frequently asked questions

Does it connect to the motor club dispatch network?

No. There is no motor club dispatch integration. You take the job in the club system, then log it in TowSitePros with the club reference so it runs on your board like any other job.

Can I keep the club job number on the job?

Yes. Each job has a reference number field for a PO, claim or dispatch number, and an account can require one before the job is saved. The number also appears in the account statement and the API.

Will club customers get texts?

Only if texting is on and consent is recorded on that job. For a job you log by phone, the dispatcher records whether the customer agreed, so a motorist who did not agree is not texted.

Can I run a police rotation report from here?

Yes. Set the job source to police rotation, file it under the agency account, and download the rotation report CSV for the month. It carries the times, dispatch numbers, vehicles and units, and leaves out money.
