Photos and timeline

Towing job photos and a timeline that cannot be edited in the product

Last updated

The short answer

Towing photo documentation means the driver photographs the vehicle at pickup, existing damage and drop-off, and the office keeps a dated record of every step. In TowSitePros photos are taken from the driver job link, and entries on the job timeline cannot be edited or deleted in the product.

What photos can a tow driver attach to a job?

A driver can attach photos from the job link, tagged as at pickup, existing damage, at drop-off, paperwork or other. Each photo comes from the phone camera, is shrunk on the phone so it uploads on a weak signal, and is filed on the job with the time it was added and who added it. What to shoot on a real job is in the driver photo guide, and how to set the routine for your whole crew is in the owner guide on documenting tow jobs.

A job holds up to thirty photos and each one can be up to 10 MB. The office can add photos from the job page too, for example a picture of paperwork that arrived after the truck left.

Who can see the photos?

Your team can see them, and your customer cannot. Photos are private to your side of the job, and the links that display them are signed and expire after ten minutes, so a copied link does not keep working.

The customer tracking page shows the job status, the receipt and any signatures the driver captured, but not the photos. If a photo is removed, the removal is itself written to the timeline.

What is on the job timeline?

The timeline lists everything that happened to a job, newest first, and its entries cannot be edited or deleted in the product. It records when the job was created, every status change, each assignment and handoff, quotes and arrival estimates as they were set, notes, photos, signatures and payments.

It also records when the customer opened their tracking link and when the driver opened theirs, and whether the customer shared their location. Two weeks later, when someone disputes what happened, the order and the times are all there.

  • Created, status changes, assignments and handoffs
  • Quote and arrival estimate as set, with the time they were set
  • Notes, photos added or removed, signatures captured
  • Customer and driver opening their links
  • Payments, invoices and reopened jobs

What are signatures and the condition walk-around?

The driver can capture a signature on the job page for release at pickup, receipt at drop-off or a damage waiver. It comes with a walk-around checklist of the front, rear, both sides, roof, glass, wheels and interior, plus a fuel level.

Signatures cannot be edited or removed in the product once captured, and they appear on the customer receipt. A signature and a walk-around are a record of what was said and done at the time, not legal advice, and what an insurer or a court will accept is not something software can promise.

What does the photo and timeline feature not do?

It does not stamp photos with a map location, detect damage or record video, and it does not let customers browse the photo set. Photos can be added from the driver page or the office, but not through the API.

It also cannot make a driver take the picture. The record is only as complete as the photos that were taken, which is why the photo kinds are one tap each.

Frequently asked questions

Can a driver take photos with no signal?

Status taps and notes queue on the phone and send when the signal returns, but photos need a connection to upload. The page shrinks each photo first to help on a weak signal.

Can the customer see the photos?

No. Photos are private to your team. The customer sees their status, quote, receipt and any signatures, not the photo set.

Can a photo be deleted?

The office can remove a photo from the job, and the removal is recorded on the timeline. Timeline entries and captured signatures cannot be edited or deleted in the product.

Can I be told when a photo is added?

Yes. A photo added is one of the job events a webhook can send to your own system, along with signatures captured and other milestones, so a billing or claims tool can react when it happens.
